Report for 24 October 2000 Council Meeting

Council Meeting Recording

Arrangements are being made to audio stream the council meetings. Due to the logistics involved, and the limited benefit, the audio stream will not be real-time. The meeting will be recorded and put onto a streaming server after the meeting.

The society is currently paying $337.50 for rental of the microphones and sound desk for each council meeting. The recommendation of the MEP WP is that we continue to rent these microphones until such time as we have a permanent council room and are able to fit out a permanent sound system.

The monthly cost to enable audio streaming of council recording will be $225. This will provide for 450Meg of storage of Real Audio files. Depending on traffic volumes, a traffic charge may also apply. Any society event requiring audio recording can utilise this service. The annual cost will be $2,700.

Feedback on Appropriate use of the Society's E-mail lists

A web-based questionnaire has been devised and the questionnaire circulated to members. Feedback on the questionnaire structure will close by Friday 27th October. The web based questionnaire will be built and published by Monday 6th November. Close off for the questionnaire will be Friday 17th November. Findings from this questionnaire, and the recommendations of the MEP working party will be presented at the next council meeting for approval.

Council eVoting Procedure

Discussion within the MEP WP on this topic are yet to be completed. A draft eVoting procedure will be presented to the council via the COUNCIL List within the next two weeks.

MEP are looking at the benefits of an email based voting system and a web based voting system. At this point it is likely that the MEP WP will recommend a web based voting system.
