AGM 2001 Electronic Participation

ISOCNZ AGM - 22 June 2001.

1.0 Overview

There is a requirement that members of the Internet Society of NZ be able to participate electronically at the upcoming AGM. This document is intended to explain how the various tools will be used to enable this participation.

2.0 Technology Overview

2.1 Audio/Video Broadcast

There will be an audio/video stream of the AGM available. People wishing to participate electronically will be able to do so using Real Audio 8. If you do not have a copy it is available from http://www.real.com

The stream will be available from 6:00 PM (NZT) on June 22nd from http://www.isocnz.org.nz/agm.ram

2.2 Vote Web Site

The method for AGM voting will be via the website at http://vote.isocnz.org.nz . Motions will be activated on the night. All members will receive by email their username and password to allow them to vote (on Wednesday 20 June). This email will be sent to members official email addresses in the ISOCNZ membership database. When a motion is available for voting it will be announced via the Audio/Video broadcast. You will be given approximately three minutes to vote.

You can test the voting system at http://vote.isocnz.org.nz now using one of the test votes that are currently available. This will ensure you are familar with the process and that you are sure that you can login okay. For the voting to work correctly you will need to ensure you allow cookies in your browser for the vote site.

2.3 Email

All official communication with the AGM will be via Email. The email address is agm@isocnz.org.nz. On topic email will be read out to the meeting,

3.0 Online Voting

The following online voting procedure will be followed:

1. Log into the ISOCNZ AGM vote web site
2. Listen to the audio stream of the meeting.
3. Observe motions etc requiring a vote (these will be updated to reflect any amendments)
4. Vote using the voting form on the ISOCNZ vote web siter: http://vote.isocnz.org.nz
